Complaints, radio call-ins, and conduct risk: treat them as a ledger
How Ghanaian lenders should log complaints, refunds, and conduct events so they are not reconstructed after a headline.

Ghanaian credit businesses live in public. A disputed penalty, a vanished susu card, or a repossession without notice becomes a radio segment. Institutions that cannot produce the receipt, the notice, and the call log in an hour are not 'awaiting IT' — they are not in control.
Log every complaint against the client and the facility. Categories, owners, due dates, and outcomes. Refunds should post as transactions, not as cash from a petty till. OrbitMFI's portal tickets and staff notes are meant to be that file.
Root causes you will actually see
Unmatched MoMo, statements that do not match the schedule, collectors who threaten, and HP notices that were never sent. Each of those is a process fix, not a training slogan.
- Time-to-acknowledge and time-to-close as board metrics.
- Link complaints to the receipt or agreement they concern.
- Do not delete notes when a staff member leaves.
- Publish the amount-due formula so disputes shrink.
Client portal as a complaints reducer
Customers who can see the live due amount and pay it on MoMo complain less. Transparency is cheaper than a call centre. That is why OrbitMFI treats the portal as an operating surface, not a brochure.
Close the loop with collections
Pause outbound SMS on an account with an open billing dispute. Nagging a customer who already paid is how you manufacture the next complaint.
