MoMo and Paystack reconciliation for MFIs: stop the 6 a.m. SMS to people who already paid
How Ghanaian microfinance and hire purchase lenders should reconcile mobile money and Paystack so collections, statements, and the GL stay honest.

Mobile money is how Ghanaian customers actually pay. It is also how ledgers rot — duplicate posts, missing posts, and payments sitting in a suspense account named after last year's intern. If your 6 a.m. reminder SMS still hits people who paid at 9 p.m., you do not have a collections problem. You have a reconciliation problem that collections is advertising to the market.
Treat every channel as a posting instruction
A Paystack success event, a MoMo callback, a teller receipt, and a USSD session are the same thing: an instruction to allocate money to a client and a product. They need a unique reference, a client, an account or agreement, and an amount. If any of those is missing, park it in exceptions — do not guess.
References customers can quote
The SMS confirmation should contain a number the branch can search in two seconds. If the only identifier is a 24-character gateway id, you will spend Fridays on the phone with the aggregator. OrbitMFI stores gateway ids and a human receipt number on the same transaction.
Allocate to the schedule, not to 'HP income'
Posting to a revenue account without ageing the instalment makes PAR look better than life. It also makes the next statement wrong. Allocate to the oldest unpaid instalment unless the customer specified a period. Split overpayments into advance, not into a mysterious credit the cashier cannot explain.
Daily exception huddle
Unmatched payments, reversed webhooks, and amounts that do not match an instalment should be a morning list with an owner. Age them. After 48 hours they are an operational incident, not a curiosity. Pause outbound collections on accounts with unmatched credits.
What 'good' looks like
OrbitMFI's payment webhooks and client portal exist so that loop closes. If you only turn on Paystack and skip the exception queue, you have bought a new way to confuse the book.
- Same-day matching rate above 98% on MoMo and Paystack.
- Reminder engine reads posted instalments, not a spreadsheet export.
- Customers see the receipt in the portal before the collector calls.
- Finance can reconcile aggregator settlements to the GL without a weekend.
