Licensed microfinance companies in Ghana operate under a prudential regime that rewards clean data. Supervisors expect consistent client identification, accurate classification of loans, timely provisioning, and evidence that large exposures and related parties are monitored. Software cannot replace a compliance officer, but it can stop the month-end reconstruction of the loan book from notebooks.
Keep a living chart of accounts
Map every product to IFRS-friendly accounts on day one. Interest accrued, interest in suspense, specific provisions, and cash collateral should never be dumped into a miscellaneous GL. OrbitMFI ships a Ghana-oriented chart that finance teams can extend without breaking reports.
Classify early, provision automatically
NPL classification depends on days past due and qualitative factors. Configure buckets (current, OLEM, substandard, doubtful, loss) and let the system propose provisions each night. Officers can override with a reason code that lands in the audit trail.
MPR packs from the same ledger
Prudential returns that are typed into Excel from a different source than the GL will eventually diverge. Generate MPR extracts from posted transactions. Review exceptions—unmatched teller cash, loans without schedules, clients without Ghana Card—before the filing date, not after.
Liquidity and concentration
Watch contractual vs behavioural cash, liquid assets, and the largest twenty exposures as a share of capital. Concentration in a single employer, market, or asset type is a supervisory talking point you should already have a slide for.
Related parties and large exposures
Supervisors ask who is connected to whom. Staff loans, director facilities, and exposures to a single employer or market must be tagged, limited, and visible. If the only way to answer is a memory of the credit committee, you are already late. Encode related-party flags on the client file and block origination that would breach policy unless a dual-control override is logged.
Evidence packs, not reconstructed Excel
An examination is a sampling exercise. If every sample requires three people and a weekend, the institution is not in control. Keep KYC, offers, schedules, receipts, restructures, and provisions on the same client. Export a pack for a loan in minutes. OrbitMFI's BoG module is designed to pull from posted transactions rather than a second shadow book.
Liquidity slides you can defend
Contractual maturity gaps lie if you ignore behaviour. Susu inflows are not a term deposit. HP receipts are not a wholesale line. Split products in the ALM view, show the largest twenty counterparties, and rehearse the story before the meeting. Software will not replace the treasurer, but it will stop the treasurer from inventing a slide at 11 p.m.
